Welcome Calls

Welcome calls before the first visit.

Hettie rings every new client and their family before care starts, confirms what your carer needs to know and hands anything unclear to your coordinator.

Why the first call matters

A good first visit is settled before the carer arrives.

The door, the time and the person who will be home are easier to agree on the phone a few days ahead than on the doorstep.

Draft standard 1.2 is about information.

HIQA's draft standards describe people who can find out what a service offers and how it works. A welcome call is the first moment you can show that in practice. Source: HIQA draft National Standards for Home Support Services.

Draft standard 2.1 is about needs.

The same draft says each person's needs are identified and assessed. A welcome call leaves a dated record of what the client and family said about their needs and preferences. Source: HIQA draft National Standards for Home Support Services.

Carers often work alone.

The Department of Health's workforce advisory group recorded concerns that care workers travel between locations and often work alone. Knowing about a key safe, a dog or who will be home helps a carer on a first visit. Source: Strategic Workforce Advisory Group report.

HIQA published its standards in draft for consultation in November 2024, and we have found no final version at the time of writing, so treat the numbering as provisional. Our plain-English checklist walks through each draft standard and the evidence an agency can keep.

Hettie opens every call by saying it is the automated assistant for your agency, which fits the transparency duty in Article 50 of the EU AI Act for AI systems that talk to people. Recording is kept only where the client has consented and your service has turned it on.

How it works

Three steps, no integration.

  1. You send the new starts.

Name, number, start date and first carer. A spreadsheet is enough, and your coordinator decides who is called and when.

  2. Hettie rings and confirms.

In your agency's name, as an automated assistant. It confirms the start date and first carer, then asks about access: a key safe, parking, pets and who will be home. If nobody answers, it tries again later.

  3. Gaps go to a person.

Anything unclear, and any worry the family raises, reaches your coordinator with the words the client used. The carer sees the access notes before the visit.

What your agency sees

A board of new starts, from referred to ready.

New starts board

Each new client moves from Referred to Called, Reached and Ready for first visit. A card shows the carer, the access notes and anything the family asked for, so your coordinator can see who still needs a call before Monday.

Start date, first carer and access notes confirmed before anyone knocks on the door.
