Visit Coordination

Confirm tomorrow's visits before anyone has to ring.

Hettie rings clients the day before, confirms the time, collects notes for the carer and tells your coordinator who will not be home.

Why confirm by phone

Every visit is a small promise to a family that is waiting.

Home support runs on a long list of visits across many addresses, and the list changes every day.

The system is large.

The Medical Independent reports that the HSE delivered 25.5 million hours of home support to about 79,400 people in 2025, and that there is no single ICT system for home support. Source: Medical Independent, 20 April 2026.

Waiting lists raise the stakes.

BDO's July 2026 snapshot says the HSE home support waiting list stays above 5,000 people. A late or missed visit lands on a family that has already waited. Source: BDO Ireland, July 2026.

Carers travel and work alone.

The Department of Health's workforce advisory group recorded concerns that care workers travel between locations and often work alone. A confirmed list tells a lone carer what to expect. Source: Strategic Workforce Advisory Group report.

HIQA's draft standards ask that everyone involved in a person's care communicates and works together (draft standard 3.2) and that resources are planned so care is consistent and coordinated (draft standard 4.2). A log of confirmations, changes and notes is the kind of record that shows both. Source: HIQA draft National Standards for Home Support Services. The standards are still in draft.

Questions about visit times and rota changes also arrive after hours, which is why Care Centre and Visit Coordination work well together.

How it works

Three steps, no integration.

  1. Tomorrow's visits go to Hettie.

Client, time and any standing note for each carer. A spreadsheet is enough.

  2. Hettie rings each client.

It confirms the time, asks whether anything has changed and takes a note for the carer, such as "the side door is open". If nobody answers, it tries again.

  3. Changes reach your coordinator.

A client who will not be home, wants another time or cannot be reached appears flagged with the reason, so the person who owns the rota can act.

What your agency sees

Tomorrow's visits, grouped by carer.

Tomorrow's visits

Each carer's list shows which visits are confirmed, which are cancelled and which could not be reached, with the note for the carer beside the visit. Your coordinator starts the day with the exceptions, and the carer starts it with the notes.

Answers "when is my carer coming?" before anyone has to ring.
